ucladboat First Weekly Update! - Subscribe
WELCOME BACK EVERYONE!

Great job to Tempe crew again and thanks for all the love and support from the rest of the team!

This week:
No Tuesday practice - obviously.
Thursday Land Practice - 6pm at Drake and 10pm social.
Saturday Boat Practice - meet at Sproul Turnaround at 9:30am. We only have 5 weeks until Long Beach Race!
Sunday - Runwalk. Register if you have not already! It's not too late!

Important dates to look out for! Watch out, here they come!
May 3 - Long Beach Race =D
May 9 - Paragon Point Race (an evite will be sent out to see if there are interests in going!)
May 30 - Tentative date for End of the Year Banquet =D

Fun with monay:
Drivers for retreat, the gas money is added to the total reimbursement that will be distributed at the end of the year. We haven't forgotten about you guys!
Tempe drivers, since the trip is out of pocket please ask your car to help pay for the gas expenses. However, dboat will be distributing $14 to every driver. This is left over funds from the Tempe budget. =D

Lastly, for those of you planning to apply for officer positions. Please start thinking about this now. The process this year will be slightly different than last year and start much earlier, around 2nd and 3rd week. More details will be sent out but please start thinking about what positions you might be interested in. There will be an info session for each position and you are always welcome to directly contact the officers at anytime! =D

Hey everyone,

This is what is up:

Tuesday and Thursday - Land Practice, Drake, 6pm
Saturday and Sunday - Boat Practice, Sproul, 9:30am

Paragon Point update. The evite shows that there is roughly 30 people interested in going to the race. There are still about 10 people who have not replied at all. We would love to bring up 2 boats. If you are wavering between a yes or no, respond yes. Paragon Point is a very fun and relaxing race. Also, if we can only send up 1 crew, 10 people will have to be cut. So support your fellow teammates and respond yes! Midterms and papers can wait.

Lastly, included as an attachment and copied below are information about the election process for next year's cabinet. There has been a change in officer positions and significant change in the election process. We highly suggest everyone read it even if you are not considering any officer positions - we want everyone to know how their team will be run. Please e-mail the officers about any concerns, comments, or suggestions. We would love to hear them.

Officer Positions
1 - President/Head Coach
2 - Vice President
3 - Boat Coach
4 - Land Coach
5 - Treasurer
6 - Historian
7 - Social Chair
8 - Public Relations Officer

The purpose for the creation of the public relations officer position is to help focus more attention on key issues such as sponsorships, alumni connections, relations with other teams, and creating a more active role in the Long Beach Dragon Boat community.

Included is a general time line for the Spring Quarter and an explanation for the change.

Week 2
Wednesday (9pm) - Info Session for President position.
Friday (5pm) - Applications for President position due. Application will be e-mailed out end of Monday.
Week 3
Presidential Candidates will attend workshops (eg: responsibiilities in club sports office) and be assigned projects.
Application for other positions will be e-mailed out
End of week 3 officers will hold interviews with presidential candidates. Officers will vote amongst themselves
Week 4
Presidential candidates will have speeches and Q&A session with team. Team votes
Wednesday - President for 2009-2010 announced
Friday (5pm) - Application for all other positions are due
Week 5
Projects and assignments for all candidates (will be with other candidates for same positions as well as with "mock cabinets").
Long Beach Race
Week 6
Projects and assignments for all candidates (will be with other candidates for same positions as well as with "mock cabinets").
Paragon Point Race
Week 7
Workshops for all candidates with respective positions.
Final project assigned to all candidates.
Week 8
Final projects due and interviews held for all candidates. Newly elected president will be included on panel with current officers. Officers and newly elected president will vote amongst themselves.
Week 9
Candidates will have speeches and Q&A session with the team. Team will vote.
Banquet - Cabinet will be officially announced.

The major reason for the change in the election process is to hopefully create the most effecient and optimal cabinet. A check and balance is implemented thoughout the whole process to ensure that the team and officers do not have a prodominant say. The election process historically has been a speech and election. We will now have all candidates participate in mandatory learning workshops to properly train them and complete assigned projects to prove commitment to the position.

The president is elected separately to encourage more people to run for the position. There is no penality in running for presidency and losing. You can still run for other positions. Noted above, the other officer position applications are due after the presidential results are announced. This also allows the president to have more time for training and take an active role in the creation of the new cabinet which he/she will be working with. The president will be trained and prepared through workshops to figure out their own working style as well as what working styles complements themselves. This will ensure that the president does not favor any specific individuals and can make a more accurate decision and which candidates would complement them the best.

Workshops will primarily be training sessions on specific topics that candidates will need in order to run the team for the following year. An example could be how to work with the budget with the club sports accounting office. Projects will include actual and mock assignments. These could include handling an issue the officers had to this past year or helping plan for upcoming races.

Voting will be held in 2 forms and occur once for the president and another time for the reamining officer positions. 1 voting form will be held between the officers (and newly elected president for the other positions) and another will be amongst the rest of the team. The officers will have 49% of the decision and the rest of the team will have 51%. The reason for officers having a larger say in the decision is because we feel through working directly with candidates and interviews as well as having been officers ourselves, we would have an accurate view of which candidates are more promising. That is not to say that the rest of the team's opinion is irrelevant. The perspectives are merely different. Also, since the newly elected cabinet will be serving the team, we felt the team should have the majority of the votes, hence the 51%. This organization would not exist without the team and the idea of the 1% is that the team should ultimately have the power to determine which candidate is elected. Also, officers will not be voting unanimously. We will vote amongst ourselves and distribute the votes accordingly to each candidate. For example, if we have 2 candidates (person A and person B) and there are a total of 49 people on the team. The 8 current officers and newly elected president will have 40 votes between them and everyone else will each have 1 vote. So if the officers vote is split, Person A and B would each receive 20 votes. Then we would add up how the team votes and add to the total.

Also, this is not final. If there seems to be a common issue or concern from the majority of the team, we could adjust to reach a compromise. We believe this is a big change so again, we encourage everyone to e-mail us about any questions or concerns. This e-mail was written to be as thorough as possible while not being too long.
